The time saving benefits of digital transformation

The digital transformation journey is well underway, given momentum by new working practices resulting from pandemic restrictions, says CoolCare managing director Fiona Hale.

The care homes utilising digital tools to reduce the administration burden have experienced benefits across the board.

Many care providers are recording business benefits, reducing the number of administrative tasks and cutting the time taken to complete them.

Managing enquiries and maximising occupancy

Effectively managing enquiries to ensure a stable pipeline and consistent occupancy can be a time intensive task. Digitising the process by using care home administration software has reaped major rewards for early adopters and digital pioneers within the sector.

Care homes utilising enquiry management capabilities within software report weekly fees between 29-62% above the national average. Additionally, reliable and effective enquiry management within software has allowed care homes to report an average of 20 days to convert an enquiry to an admission, helping to keep empty beds to a minimum.

Increasing invoice accuracy

The decision for an older person to go into care is often deeply personal for the individual and their family. This makes invoice accuracy incredibly important for care homes where fee errors can create distress. On average, care homes make around 15 fee adjustments per month as care needs evolve and funding situations change, with some making over 100 adjustments.

Using technology to support this process reduces the time taken and simplifies the process. Based on the averages, a manual fee change takes an estimated 15 minutes. Care home administration software brings this down to a few clicks, saving care homes around 2.5 hours in an average month and much more in months with greater volumes of changes.

Recording staff time and attendance

Care home staff clock in and out a lot – with some 696,000 care home staff in the UK, the number is in the millions. Software can automatically add clock-in times to timesheets and ‘snapping’ to the appropriate shift, which saves time for staff and for the payroll teams at the end of the month.

Digital admin software saves time

Meanwhile, the average care home receives an average of 21 holiday requests each month. Where a manual holiday request takes a total of around 15 minutes, versus a digital process taking an estimated five minutes, care homes stand to save around 3.5 hours each month through digitisation.

Undergoing digital transformation and adopting care home administration software has the power to make care homes stronger as businesses, reducing costs through automation and increasing accuracy. Meanwhile, the same software can reduce the workload and ease the weight of the administrative burden in a sector under pressure.
